This policy explains what personal information Smarter Sites Ltd ("we", "us") collects through this website, why, and what your rights are.
Who we are

What we collect
We only collect what you give us. When you submit a form on this site (contact, discovery call request, or website review), or use the chat assistant to request a callback, we collect:
- your name;
- your email address, and your phone number if you give it to the chat assistant;
- any details you choose to include, such as your company, budget guide, website address, preferred call times, or a description of what you are trying to build;
- basic technical information sent automatically with the request, such as your IP address and the page you submitted from, which we use to reduce spam.
We do not run a newsletter, and we do not sell or rent your details to anyone.
Why we use it, and our lawful basis
We use your information solely to respond to your enquiry and to arrange or carry out any work you ask us about. Our lawful basis is legitimate interests (responding to an enquiry you sent us), and where relevant, taking steps to enter into a contract at your request. If you ask us to, we may keep your details to continue a project or ongoing support.
Who else is involved
We use trusted third parties to run the site and handle enquiries. They process data on our behalf and we do not send your enquiry to anyone else:
We also measure site usage with our own first-party, cookieless analytics. It records the page viewed, the referring site, device type and country — it does not store your IP address, sets nothing on your device, and cannot identify you. See our Cookie Notice.
- Cloudflare, which hosts and serves the website;
- Resend, which delivers the enquiry emails to us and the confirmation email to you;
- Google (Gemini), which powers the AI chat assistant. Messages you type into the chat are sent to Google to generate a reply. Please do not enter sensitive personal information into the chat;
Connected social media accounts (our publishing tools)
We publish our own blog content to our social media accounts — LinkedIn, Facebook and Instagram — using Relay, our in-house publishing tool. When we connect an account, the platform issues our tool an access token. We store that token encrypted and use it only to publish posts to the connected account and to check the connection is still healthy. Alongside it we store the account name or identifier and a record of the posts we have published.
We do not collect or store data about other users of those platforms, we do not use platform data for advertising or profiling, and we never sell or share it with anyone. Disconnecting an account in the tool, or revoking access in the platform's own settings, invalidates the token immediately. To have any related records deleted, email contact@smartersites.co.uk.
Where we manage a social media account on behalf of a client, we do so only with the account owner's permission and on their instructions, under the same safeguards.
How long we keep it
We keep enquiry emails for as long as needed to deal with your request and for a reasonable period afterwards for our records, then delete them. If we work together, we keep what we need for the duration of that relationship and as required by law.
Your rights
Under UK data protection law you can ask us to give you a copy of the information we hold about you, correct anything that is wrong, delete your information, or restrict or object to how we use it. To exercise any of these, email contact@smartersites.co.uk and we will respond within one month. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Cookies
This site sets no advertising or third-party analytics cookies, so it has no cookie banner. Our own analytics are first-party and cookieless, and store nothing on your device. Full detail is in our Cookie Notice.
Changes
We may update this policy from time to time. The date at the top shows when it last changed.
