Overview

A growing business outgrowing paper and spreadsheets.

KC Landscapes is a landscaping, tree surgery and grounds maintenance business serving the Cheshire and Runcorn area. As the business grew, so did the daily load: scheduling crews, keeping customers informed, capturing proof of work on site, raising invoices, and chasing the reviews that win the next job. Much of this was handled across paper, phone calls and spreadsheets.

We built a single platform that the office team and field crews use every day, plus a customer-facing portal that keeps clients in the loop. It is a progressive web app, so staff open it in their browser or add it to the home screen. There is no app store to manage, and the office, the crews and customers all work from the same live data.

The challenge

A growing operation runs on coordination.

  • Crews needed to know exactly which job to do next, and managers needed real-time progress without a stream of phone calls.
  • Photographs of completed work had to be captured on site, often in places with little or no mobile signal.
  • Customers expected to be kept informed and to have a tidy record of the work done at their property.
  • Invoicing and payment chasing took office time that could be spent on the business.
  • Online reviews drive new enquiries, but asking for them consistently is easy to forget.

Crews photograph completed work in the app. Photos compress automatically so they upload quickly even on weak signal.

Works offline

In low-signal areas, photos and updates queue safely on the device and sync the moment a connection returns.

AI photo auditing

Submitted photos are checked automatically to help maintain a consistent standard of completed-work evidence.

Customer portal

Customers see their property, their scheduled and completed visits, and the record of work carried out.

Invoicing & payments

Commercial invoices raised from the platform, with selectable terms, card payments online and easy bank-transfer marking.

Accounts export

A billing summary with CSV export in a format that drops straight into QuickBooks or Xero for clean reconciliation.

Automated review requests

After completed visits the platform sends a Google review request by text, so happy customers are asked at the right moment.

Plan the route

The day's visits are scheduled and ordered from a chosen start point, so each crew has an efficient route.

Work one job at a time

Crews capture before-and-after photos as they go. In poor signal, everything queues on the device.

Flag exceptions

If a property cannot be accessed or the customer wants extra work, a single tap records it and notifies the office.
